My Role

User Research & Analysis, Personas, Wireframes, UI Design, Prototype

The Problem

The organization faces difficulties in tracking volunteer availability and matching them to suitable trips

The Solution

To meet the growing demand, the organization requires an enhanced optimization-based system for scheduling and matching guidelines for journeys, using user-defined parameters

Challenge

Challenge

Analyze The Limitations

During the process of matching volunteers to opposing groups, the following parameters had to be taken into account

Connections

  • Volunteer connections

  • Volunteer-group assignments

  • Dates

Design

  • Unconventional solution design

  • Accuracy and parameter prioritization

  • Technologically challenged persona

Data Analysis

The challenges and discovered preferred volunteer assignments. Visualizing the documents into a mind map helped me understand limitations and prioritize effectively

Market Research

I observed in the market research that some systems do not fully address the central problem faced by the association.

The inspiration I got from the competitors was the dashboard layout, displaying important details to avoid overwhelming the user

Looking for UX Research

Seeking UX research insights, I explored filtering and automation. The search on LinkedIn led me to Yuval Frank, a UX Researcher who showcased his analysis of a project's matching process. His guidance refined my focus

Thank You! Yuval

Interviews

Doron - Professional Manager

"The problem is matching groups and volunteers. A problem because you have to adjust to seniority and schedule limitations"

User interviews

The interview is conducted with Doron, the association manager, and Dan, the logistics manager

Main pain points

Low Technological

Dan is the organization's sole software user. Despite trying different systems like Monday and Salesforce CRM, the organization couldn't transition from manual work to automated processes with those systems

Changing Volunteers On a Weekly Basis

Doron's primary role is to oversee placements and provide final approvals. However, this disturbs him in efficiently managing the association

Manual Data Backups

The COVID-19 pandemic exposed vulnerabilities and called for new approaches

Research Insights

  • Non-technical personnel in the organization struggle with complex systems that have a steep learning curve.

  • The organization allocates resources to handle frequent placements and changes.

  • The organization is experiencing rapid growth, which doesn't align with their current work method.

Needs

  • Journey screen, and volunteer screen allow the association to see all of the information regarding each journey

  • The ability to manage and navigate between all future trips and quickly and efficiently schedule instructors for those trips

Motivation

  • To save time between trip planning and invest the organization's resources in things that can promote it

User Flow

I prioritized learning time and simplified the design into short, user-friendly processes. This approach benefits users like Wally and other volunteers, enabling them to navigate the system with ease.

Low Fi

Considering the impact of cognitive load, my goal when designing the screens was to minimize it by prioritizing essential information. To increase user confidence, Like a side menu will offer helpful information as users navigate the system
